Never miss a call: AI call agents for small businesses

For a small business, the phone is often the front door. A patient wants to move an appointment. Someone wants to know whether you're open on Sunday. A customer's washing machine has stopped mid-cycle and they'd like someone to look at it today. These calls tend to arrive at the worst moments — mid-haircut, mid-consultation, halfway under a sink — and when nobody picks up, many callers simply try the next number on the list.

TowerAI's call agent is built for those moments. It answers your calls in a natural voice, handles the routine ones and makes sure the rest reach the right person, with a clear summary of what was said.

Who it's for

Call agents suit businesses where calls are frequent and often similar, and where the people who could answer are usually busy doing the actual work:

  • Clinics — appointment requests, reschedules, consultation timings and directions.
  • Salons — bookings, availability and questions about services.
  • Repair services — taking down the problem, the address and a convenient time for a visit.
  • Coaching centres — enquiries about courses, batch timings and admissions.
  • Small shops — opening hours, directions and questions about orders.

What a call agent does

A call agent runs on the same agent brain as every TowerAI agent. Speech-to-text turns the caller's words into text, large language models work out what they need and how to respond, and text-to-speech lets the agent reply out loud. On a typical call, it can:

  • Answer and understand. It greets the caller, listens and works out what they're after, even when the real request takes a few sentences to surface.
  • Answer common questions. Opening hours, location, services, what to bring — drawn from the information you give it.
  • Book and reschedule appointments. It checks availability in your calendar, offers suitable slots and confirms the one the caller chooses.
  • Take messages. Name, number, reason for calling and how urgent it is, captured properly rather than on a scrap of paper.
  • Send a summary. After each call you get a summary and a transcript, so nothing relies on someone's memory.

It can place calls too, for example to return a missed call or to confirm an appointment a customer has asked for.

A call, start to finish

Here's an illustrative example. It's a busy Saturday at a salon, and the phone rings:

  • The caller wants to move Thursday's haircut to Friday evening.
  • The agent finds the existing booking, checks Friday's availability and offers two open slots.
  • The caller picks the later one. The agent confirms the new time out loud and moves the booking.
  • A few moments later, the owner receives a summary: who called, what changed, the new time and the transcript.

Nobody had to put down a pair of scissors.

Where it hands off to a human

A call agent isn't a replacement for your team. It's cover for the moments they can't pick up, and part of doing that well is knowing when a call needs a person. You decide where that line sits. Common hand-off points include:

  • The caller asks for a person. The agent doesn't argue. It takes a message and flags it for a callback.
  • The question is outside what it knows. It says so plainly rather than inventing an answer, and passes the question on.
  • The matter is urgent or sensitive. Complaints, billing disputes and anything time-critical are flagged as a priority, so your team calls back first. A clinic's agent should always point anyone describing an emergency to emergency services.
  • The request needs a judgement call. A discount, an exception to your policy, a booking outside your usual rules: these wait for you.

Every hand-off appears in the call summary, so whoever calls back knows what the caller has already said.

Responsible use

A voice agent on a phone line carries real responsibilities, for us and for the businesses that use it. These are the principles we build around, and the ones we ask every business to follow:

  • Be upfront that it's an AI. Callers should be told they're speaking with an AI agent wherever that's required, and we think it's good practice everywhere. A plain sentence in the greeting does the job.
  • Get consent for recording. If calls are recorded or transcribed, tell callers, and ask for their consent where the law requires it.
  • No spam or telemarketing. Call agents are for serving your own customers: answering their calls, returning them and confirming appointments they've asked for. They're not for unsolicited sales calls, robocalls or working through cold-calling lists.
  • Set clear limits. You decide what the agent may do on a call, such as which appointments it can book and which questions it can answer. Anything outside those rules comes back to you for approval rather than being agreed on the spot.
  • Keep a record. Every call and every action is recorded in the activity log, and you can pause or stop the agent at any time.

It's also worth being honest about limits. Voice agents can mishear a name, a number or an unusual request, particularly on a noisy line. Summaries and transcripts are there so you can spot that quickly and put it right.

A good call agent is honest about what it is, knows where its job ends and leaves every caller with a clear next step, even when that step is "someone will call you back this afternoon".

Getting started

Setting up a call agent starts with what it needs to know about your business: your opening hours, the services you offer, the questions you're asked most often, how your appointments work and when you'd like it to hand over. The clearer that information is, the better its answers will be, and you can update it whenever things change.

The call agent is part of the Pro plan, at $50 a month, and Teams & Enterprise plans cover higher call volumes through our sales team.
